Privacy Policy
What we collect, why, and the choices you have.
Last updated: October 7, 2026
In short
- We collect what you send us — through our forms, by email or by phone — to answer you, quote your event and deliver it.
- We do not sell your information, and we do not use advertising or tracking cookies.
- Layouts you make in Build Your Setup, and any picture you try on its screen, stay in your own browser.
- You can ask us to see, correct or delete your information at any time.
1. Who we are
Idea Media USA (“Idea Media USA,” “we,” “us”) is an event production and media services company based at 31333 Southfield Rd, Suite 110, Beverly Hills, MI 48025. This policy covers our website, our print & display catalog, and the information we handle when you contact us or work with us.
2. Information you give us
- Contact and quote requests. Your name, email address, phone number, event type, date and location, the services you are interested in, your budget range, and anything you write in your message.
- Catalog quote requests. The products, sizes and options on your quote list, and any artwork files you upload with it.
- Build Your Setup. If you send a setup to us with “Request a Quote,” the setup summary and its link are added to your message so we can see what you planned.
- Working with us. Details needed to deliver your event or project — venue information, schedules, on-site contacts, billing details, and the content you give us to display, stream or edit.
3. Information collected automatically
- Server logs. Like most websites, our hosting provider records basic technical details when pages load: your IP address, browser type, the page requested and the time. These logs help keep the site running and secure.
- Spam protection. When you submit a form, we store a one-way scrambled (hashed) version of your IP address to limit repeated submissions, and we note when a submission looks automated. We may also use Cloudflare Turnstile to check that a form is being filled in by a person; if we do, Cloudflare processes technical information from your browser for that check.
4. Information that stays on your device
Some features remember things in your own browser’s storage rather than sending them to us:
- Build Your Setup saves your layout in your browser, and puts it in the page’s link so you can share it. Any picture you try on the screen is processed on your device and is never uploaded.
- The catalog quote list is kept in your browser until you send it or clear it.
You can remove this at any time by clearing your browser’s site data. We do not use advertising or analytics cookies. Our staff back office uses essential cookies so team members can sign in; visitors to the public website do not receive them.
5. How we use information
- To answer your questions and prepare quotes and proposals.
- To plan, deliver and support your event, rental or project, and to invoice for it.
- To send you messages about your request or booking. We will only send marketing emails if you ask for them, and every one will let you unsubscribe.
- To keep our website and systems secure and free of spam and abuse.
- To meet legal, tax and accounting obligations.
6. How we share information
We do not sell your personal information, and we do not share it for cross-context behavioral advertising. We share it only:
- With service providers that run our systems for us under contract: Google Cloud and Firebase (website hosting, our database and file storage), Google Workspace (email), and, if enabled, Cloudflare (spam checks).
- With services your browser loads directly. Our pages use Google Fonts, and our Contact page shows a Google Map. When your browser loads them, Google receives your IP address and browser details under its own privacy policy.
- With partners who help deliver your order — for example crew, venues or the trade printer that produces a catalog order — and only what they need to do it.
- When required by law, or to protect the rights, property or safety of our clients, our team or others.
- In a business transfer, such as a merger or sale, in which case this policy continues to apply to your information.
7. Photos and video at events
When we film, photograph or live-stream an event, attendees may appear in the footage. Clients are responsible for letting their guests know that recording will take place. We may show finished work in our portfolio and on social media; if you would rather we did not feature your event, tell us and we will respect that.
8. How long we keep information
We keep quote requests and project records for as long as we need them to respond, deliver our services and support you afterwards, and as long as the law requires us to keep business and tax records. Uploaded artwork that is not used for an order, and submissions identified as spam, are deleted once they are no longer needed. When information is no longer needed, we delete it or make it anonymous.
9. Security
We protect information with encrypted connections (HTTPS), access limited to staff who need it, two-step sign-in for our back office, and hosting on Google Cloud’s secure infrastructure. No system is perfectly secure, so please don’t send highly sensitive information such as payment card numbers through our forms or by email.
10. Your choices and rights
Wherever you live, you can ask us to:
- tell you what personal information we hold about you and give you a copy;
- correct information that is wrong;
- delete your information, unless we need to keep it to complete a booking or meet a legal obligation;
- stop sending you marketing messages.
California residents have these rights under the California Consumer Privacy Act (CCPA), as amended by the CPRA: the right to know what we collect, use and disclose; to delete; to correct; to opt out of the sale or sharing of personal information (we do neither); to limit the use of sensitive personal information (we don’t collect it for that purpose); and not to be treated differently for using these rights. You may use an authorized agent.
To make a request, email info@ideamediausa.com or call +1 (313) 333-9233. We will confirm your identity, usually by matching details we already have, and respond within 45 days.
11. Children
Our website and services are meant for adults planning events. We do not knowingly collect personal information from children under 13. If you believe a child has sent us information, contact us and we will delete it.
12. Other websites
Our pages may link to other websites, such as social media profiles. Their privacy practices are their own, and this policy does not cover them.
13. Changes to this policy
If we change this policy, we will update the date at the top of this page. If a change materially affects how we use information we already hold, we will tell you before it applies.
