Terms & Conditions
The terms for using our website and working with us.
Last updated: October 7, 2026
1. About these terms
These terms apply when you use the Idea Media USA website and print & display catalog, and when you book services, rentals or products from Idea Media USA (“we,” “us”). By using the website or booking with us, you agree to them. If your signed proposal, quote or agreement says something different, that document wins for your booking.
2. Using our website
- Use the website lawfully. Don’t try to disrupt it, gain unauthorized access, or send spam or harmful code through it.
- Don’t copy or scrape the site in bulk, or reuse its content commercially, without our written permission.
- The website’s text, photos, video, designs, and the IDEA! name and logo belong to Idea Media USA or are used with permission.
- We work to keep the website accurate and available, but it may occasionally contain errors or be unavailable. Prices, products and services shown may change without notice.
3. Build Your Setup and other planning tools
Build Your Setup helps you picture and plan your event. Everything it produces is a guide, not a commitment:
- Drawings are illustrations. Sizes, heights and positions are close approximations.
- Audience, sightline and viewing-distance figures are rule-of-thumb estimates for a flat floor. They don’t account for your venue’s exact layout, seating or obstructions.
- Equipment shown doesn’t mean it is available on your date. Availability, final design, rigging and safety are confirmed by our team, usually after reviewing your venue.
- A setup you send with a quote request is a starting point for your quote, not a binding order.
4. Quotes and bookings
- Quotes are based on the information you give us and are valid for the period stated on the quote.
- Your date and equipment are reserved only once we receive your signed agreement and any deposit stated in your quote.
- If the scope changes — dates, venue, hours, equipment, crew or deliverables — the price may change. We will confirm any change with you before it applies.
5. Payment
- Payments are due as shown on your quote or invoice. Applicable taxes are added where required.
- If a payment is late, we may pause work, hold equipment, or withhold final deliverables until it is paid, as allowed by law.
- You are responsible for reasonable costs of collecting overdue amounts, where the law allows.
6. Changes, cancellations and rescheduling
Cancellation and rescheduling terms, including whether deposits are refundable, are set out in your quote or agreement. Please tell us about any cancellation or change in writing (email is fine). Where your agreement doesn’t say otherwise, we will try to move your booking to a new date, subject to availability, and costs we have already incurred for your event remain payable.
7. Your responsibilities
For events and rentals, you agree to:
- give us accurate information about your event and venue;
- arrange venue access, approvals, permits and load-in and load-out times;
- provide a safe, level, stable surface for screens, stages and equipment, and enough suitable power, unless we have agreed to supply it;
- plan for weather at outdoor events, including shelter for equipment;
- keep equipment safe from guests and theft while it is at your venue.
8. Equipment
- All equipment remains the property of Idea Media USA.
- When our crew installs equipment, only our crew may rig, move, adjust or operate it, unless we agree otherwise.
- For rentals without our crew, you are responsible for the equipment from handover until it is returned, including loss, theft and damage beyond normal wear. Equipment must be returned on time, complete and in the condition you received it. Late returns, missing items and repairs may be charged.
9. Safety
Safety comes first. Our crew may delay, adjust or stop setting up or operating equipment when conditions are unsafe — for example high wind, rain, unstable ground, unsafe power or crowd conditions. We are not responsible for losses caused by a reasonable safety decision.
10. Content you provide
- You confirm that you own, or have permission to use, all content you give us to display, stream, print or edit, including video, images, music, logos and artwork.
- You give us permission to use that content as needed to deliver your event or project.
- We may refuse content that is unlawful, infringes someone else’s rights, or is inappropriate for the venue.
- Please supply content by the deadline and in the formats we specify. Late or incorrectly formatted content may affect what we can deliver.
11. Media production and portfolio
- When your project is paid in full, you receive the rights to the final deliverables stated in your agreement.
- Unless your agreement says otherwise, we keep ownership of raw footage, project files and working materials, and you may use the final deliverables for any lawful purpose.
- We may show your event or project in our portfolio and on social media. If you would rather we did not, tell us in writing and we will respect that.
12. Print and display products
- Catalog products are made to order. Prices, options and turnaround times are confirmed in your quote.
- Please check proofs carefully. Once you approve a proof, we print exactly what you approved.
- Colors can vary slightly between screens, materials and print runs.
- If a product arrives defective, or differs from your approved proof because of our error, tell us within 7 days of delivery and we will reprint or replace it. Custom-made items can’t be returned for a change of mind.
13. Disclaimers
Except as stated in these terms or your agreement, our website and planning tools are provided “as is.” To the extent the law allows, we disclaim implied warranties, including fitness for a particular purpose.
14. Limitation of liability
To the extent the law allows, we are not liable for indirect, incidental, special or consequential losses, such as lost profits, lost ticket sales or lost business opportunities. Our total liability for any claim connected with a booking is limited to the amount you paid us for that booking. Nothing in these terms limits liability that cannot be limited by law, including for gross negligence or willful misconduct.
15. Indemnity
You agree to cover our reasonable losses and costs if a claim is made against us because of content you supplied, your guests’ actions, your venue, or your breach of these terms or your agreement.
16. Events beyond our control
Neither of us is responsible for a failure or delay caused by events outside reasonable control, such as severe weather, natural disasters, power or venue failure, government orders, public health emergencies, or travel disruption. In that case we will work with you in good faith to reschedule or adjust the booking.
17. Governing law and disputes
These terms are governed by the laws of the State of Michigan. If a dispute arises, please contact us first — most issues can be settled quickly. Any dispute that can’t be resolved informally will be heard in the state or federal courts located in Oakland County, Michigan.
18. Changes to these terms
We may update these terms from time to time and will change the date at the top of this page when we do. The terms in effect when you book apply to that booking.
